The Challenge

As Industrial Technical Services grew, so did the administrative work required to keep jobs, documentation, payroll, and field activity aligned. ITS runs on job-level accuracy. Every job number matters because it connects project documentation, T&M activity, payroll, department activity, accounting, and reporting. But job setup and job management required too many manual steps across disconnected systems. Job information had to be created, copied, updated, and maintained across QuickBooks Online, Paycom, OneDrive, and other internal systems. That created delays, duplicate entry, outdated job records, and added administrative work for the office team. Field activity and related forms could take days to become visible to the office. Payroll sync from Paycom to QuickBooks Online required hours of manual work. Job creation alone could take 1–1.5 hours and required multiple people to complete. The work was getting done, but the process depended on too much manual coordination. It created friction for the office team, delayed visibility for managers, and made it harder to stay focused on job management, profitability, and analysis.

The solution

Savvy Source worked closely with the ITS team to implement a centralized Job Portal that gives them one digital workspace for managing job information and supporting workflows. The solution brought together several key pieces of the job management process: • Centralized Job Portal for active job information

• Digital T&M workflow for field-related job activity and forms

• Job creation sync across QuickBooks Online and Paycom

• Payroll sync from Paycom into QuickBooks Online

• Cleanup and management of existing job data

Instead of relying on duplicate entry, manual updates, and outdated workflows, ITS now has a structured job management process that keeps key systems aligned and gives employees access to the information they need when they need it.

The results

Savvy Source helped ITS reduce administrative friction, improve job visibility, and create a cleaner foundation for managing work across the business. Administrative burden for job creation was reduced by 89%, saving almost one hour per job. Payroll review time dropped to under 10 minutes, an 92% reduction. T&M visibility improved from delayed access to near real-time visibility into new jobs and resulting forms. Savvy Source also helped ITS significantly clean up old and outdated job data, giving the team better control over active jobs and reducing clutter in day-to-day workflows. With the Job Portal in place, ITS employees now have faster access to job records, documents, workflow status, payroll activity, and supporting forms without relying on manual lookups across multiple systems. Just as important, managers are no longer losing time waiting for administrative handoffs to catch up. With faster access to job information, forms, and status updates, they can spend more time focused on true job management, profitability, analysis, and supporting active work in the field.

Final Impact

ITS now has a cleaner, faster, and more controlled way to manage job information across the business. By centralizing job access, digitizing T&M workflows, syncing payroll and job data, and cleaning outdated records, Savvy Source helped ITS reduce manual work while improving the accuracy and availability of the information their team relies on every day. The result is not just a faster administrative process. It is a better operating rhythm for the team. Office staff can access the information they need sooner, managers can make decisions with better visibility, and the business has a stronger foundation for managing jobs as it continues to grow.

Founded in 1976, Industrial Technical Services (ITS) has grown into one of Western Massachusetts’ leading commercial and industrial contractors, providing HVAC, electrical, automation, plumbing, fire protection, and facility services across the Northeast. As the company expanded, so did the administrative workload required to manage jobs, customer documentation, and communication across the business.

When Savvy Source partnered with ITS, the challenge wasn’t the field work, it was the growing amount of time spent managing paperwork, customer requests, and job information outside the systems employees relied on every day. The business needed a better way to organize information, reduce administrative effort, and keep work moving from the office to the field.

The Challenge

For ready-mix teams, the issue is not just moving tickets from one system to another. It is the daily friction created when dispatch data, invoices, payments, and ERP records have to be checked, corrected, and reconciled by hand.

Founded in 1925, Breckenridge Material Company is one of the Midwest’s largest ready-mix concrete and aggregates operations. But behind the scale was a reality many growing businesses know well: massive volumes of BOL tickets and vendor invoices moving across multiple plants, all relying on an 8-person AP team to keep everything processed manually.

When Savvy Source partnered with BMC, the challenge wasn’t a lack of effort. It was the growing weight of manual work required to keep operations moving efficiently.

From chasing work orders to connected job execution

Every completed job moves the process forward automatically. Work orders close, documentation stays connected, and billing can begin without delays.

Connect

Data stays synchronized

Work orders, field documentation, and job status remain connected from start to finish, giving the office a clear view of what’s complete, what’s still in progress, and what’s ready for billing.

centralize

One place for every record

Every job creates a complete digital record that combines work orders, documentation,
and supporting information into a single location making it easier to access,
verify, and manage job details.

visibility

Know what's ready to move

Once a job is complete and documentation is confirmed, managers can immediately see what’s ready for the next step. Billing starts without waiting for paperwork, giving teams greater confidence in job status and revenue timing.

one digital workspace for every project

Instead of managing customer emails, project documentation, work orders, and supporting files across multiple locations, Industrial Technical Services now has a centralized workspace for every job. Employees can quickly retrieve the information they need without relying on paper files, shared drives, or individual inboxes.

As projects move from estimate to completion, documentation remains connected to the customer record, giving office staff greater visibility while reducing the time spent searching for information.

Supporting growth without adding administrative work

As the business continued to grow, employees no longer needed to spend valuable time tracking down documents or recreating information that already existed elsewhere. Job Portal Management provides a consistent process for organizing customer records and project documentation, making it easier to support more work without increasing administrative complexity.

Rather than managing information across disconnected systems, every project is supported by a complete digital record that keeps office and field teams aligned throughout the lifecycle of the job.

There has been time added back to my life. I now have time for special projects that have gotten away from us, and I can really focus more on bookkeeping rather than chasing jobs down or copying and pasting job numbers in.
